Every memorable educational visit begins with someone working tirelessly behind the scenes to make it happen. Educational Visits Coordinators (EVCs) ensure that educational visits are not only safe, but also inclusive, enriching, and inspiring for every pupil whilst supporting the Visit Leaders who are on the ground.

The EVC of the Year Award shines a spotlight on those unsung heroes representing schools across the globe. Celebrating the dedication, creativity, and leadership of EVCs who go above and beyond to open up the world for young people.

What is the EVC of the Year Award?

The EVC of the Year Award celebrates an Educational Visits Coordinator who has shown exceptional leadership, innovation, and commitment in embedding safe practice, inclusive, and inspiring educational visits.

Who can apply?

The EVC of the year award is open to:

  • Any appointed Educational Visits Coordinator (EVC) or equivalent role in international school. Currently working in a school.

  • All phases of education: primary, secondary, special, alternative provision, and post-16.

  • Any school, anywhere in the world.

  • Nominees who have been in post for at least one full academic year.

  • Nominations can be made by headteachers, senior leaders, colleagues, or external partners.

How much does it cost to enter?

Nothing. It is an award to recognise the hard work EVCs put in, no one should have to pay for this recognition.

Award Criteria

Nominations will be judged on:

  1. Leadership & Compliance – embedding safe practice, statutory compliance, and clear systems.

  2. Impact on Pupils – demonstrating inclusion, enrichment, and improved outcomes.

  3. Innovation & Enrichment – creating diverse, creative, and inspiring opportunities.

  4. Professional Development & Legacy – supporting staff, sharing best practice, and embedding delivering lasting change.

  5. Supporting Evidence – testimonials, case studies, or examples demonstrating impact.

How will it be judged?

  • Judged by a panel of representatives from education, outdoor learning, and school leadership.

  • Shortlisting against the published criteria.

  • The highest-scoring nominee will be selected as the winner.

What will they win?

The winner of the EVC of the Year Award will receive:

  • An award trophy and feature in The EVC Magazine.

  • £500 CPD funding for their school (redeemed from EVOLVE Advice on their training courses).

  • £500 bursary towards a school trip (provided by EVOLVE Advice).

  • £500 voucher towards a new trip (provided by PGL)

  • A goodie bag for the winning EVC.

  • A free delegate place at the National Educational Visits Conference.

  • Named an EVC Ambassador, sharing best practice regionally and internationally.

  • 1. Promoter

    The promoter is EVOLVE Advice Ltd (“EVOLVE Advice”, “we”, “our”, “us”).

    2. Eligibility

    • The Awards are open to UK residents aged 18 years or over at the time of entry.

    • Employees of EVOLVE Advice, their immediate family members, agents, suppliers, or anyone professionally connected with the promotion are not eligible to enter or be nominated.

    • Entries that do not meet the eligibility criteria will be disqualified.

    3. Entry Period

    • The Awards open on 8th October 2025 and close on 30th November 2025 (“the Entry Period”).

    • Entries received outside of these dates will not be accepted.

    • The Promoter reserves the right to extend the Entry Period only in exceptional circumstances, and any such extension will be clearly communicated on the Awards webpage.

    4. How to Enter

    • Entry is free of charge and no purchase is necessary.

    • To enter, complete the official nomination form available at https://www.evolveadvice.co.uk/awards during the Entry Period.

    • Only one nomination per category per entrant is permitted unless otherwise stated.

    • Incomplete, illegible, or fraudulent entries will be void.

    • Entries submitted by automated means or on behalf of another person (except valid nominations) will not be accepted.

    5. Judging and Selection of Winners

    • All valid entries will be reviewed by an independent judging panel.

    • The judging process will include at least one independent judge unconnected with EVOLVE Advice or its entrants.

    • Judges will assess entries according to the published criteria available on the Awards page.

    • The judges’ decision is final and no correspondence will be entered into.

    • The names of the judges (or the organisation they represent) are available on request.

    6. Prizes and Recognition

    • Winners will receive recognition and/or awards as described on the Awards page.

    • There is no cash alternative, and awards are non-transferable.

    • If an award or recognition becomes unavailable, EVOLVE Advice may substitute an alternative of equal or greater value.

    • The total number of awards and winners will be stated on the Awards page. The odds of winning depend on the total number of valid entries received.

    7. Winner Notification and Acceptance

    • Winners will be notified via the contact details provided during entry within 7 days after judging is complete.

    • Winners must respond within 14 days to confirm acceptance of their award.

    • If a winner does not respond within the specified timeframe or is found to be ineligible, EVOLVE Advice reserves the right to withdraw the award and select an alternative winner.

    8. Publicity and Data Protection

    • By entering, participants consent to EVOLVE Advice using their name, company, and entry details in promotional materials, announcements, and social media, solely in connection with the Awards.

    • Participation in publicity is voluntary, and entrants may withdraw consent at any time by contacting [insert contact email].

    • Personal data will be handled in accordance with the EVOLVE Advice Privacy Policy and the UK GDPR.

    • Data will only be used for the administration of the Awards unless explicit further consent is given.

    9. Fairness and Transparency

    • The Awards will be conducted fairly, and all reasonable steps will be taken to ensure that entrants are treated equally and that the judging process is impartial.

    • EVOLVE Advice will not alter the core terms of the competition once it has begun, unless necessary to address unforeseen technical issues or circumstances beyond its control (“force majeure”).

    • Any significant change will be announced promptly on the Awards webpage, and participants will have the option to withdraw their entry if they do not accept the change.

    10. Liability

    • EVOLVE Advice accepts no responsibility for:

      • Entries lost, delayed, misdirected, or corrupted due to technical errors or network failures;

      • Any loss, damage, injury, or disappointment suffered by entrants or winners in connection with the Awards, except where caused by our negligence.

    • Nothing in these Terms limits or excludes liability for death or personal injury resulting from negligence or for fraud.

    11. Accessibility of Terms

    • All promotional materials referring to the Awards will include a clear statement:

    12. Legal Compliance

    • This promotion complies with the UK Code of Non-broadcast Advertising and Direct & Promotional Marketing (CAP Code), administered by the Advertising Standards Authority (ASA).

    • The Awards do not constitute a lottery under the Gambling Act 2005 because participation is free and winners are selected by skill and/or independent judgment.

    • These Terms and Conditions are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the English courts.
